Background information
Asetek, a global leader in liquid cooling solutions for data centers and gaming, has established their new headquarters in Aalborg. In the new building, they share facilities – including meeting rooms – with the company Turftank, which has a separate IT setup and Office 365 tenant.
The challenge
By sharing a building and meeting facilities with another company, the need arose for a solution that could handle meeting room booking and guest registration across different Office 365 tenants. Traditional solutions don’t support this type of sharing without complex setups, creating frustration and inefficiencies for employees and guests.
The solution – MyDesk
Asetek chose MyDesk as the platform for both guest registration and meeting room booking. MyDesk was implemented across the entire head office and provides a unified solution that integrates with Outlook and Microsoft 365. The unique functionality of MyDesk makes it possible to:
-
Book meeting rooms directly from Outlook
-
Find and book shared meeting rooms in MyDesk, even if they are in another Office 365 tenant
-
Manage guest registration, access and meeting preparation from one platform
The uniqueness
MyDesk is the only solution on the market that enables booking and viewing of shared meeting rooms across Office 365 tenants – without the need for complex IT workflows or compromises in user experience. This enables employees of both Asetek and Turftank to use the same facilities seamlessly and efficiently.
The result
With MyDesk, Asetek has achieved:
-
A streamlined guest journey from arrival to meeting
-
Efficient use of shared resources
-
High user satisfaction thanks to Outlook integration
-
Reduced administration and IT complexity
Conclusion
The deployment of MyDesk at Asetek illustrates how modern multi-enterprise office environments can achieve efficient resource utilization and ease of use – even across technological boundaries like different Office 365 tenants.
