The problem
KMC in Brande is a key player in Danish food production with a modern administration that supports the extensive production. As the company has grown, there was a need to professionalize the way their physical space was used. The existing setup required more manual coordination than was good for a growing business.
In the food industry, efficiency and precision are always paramount, and this also applies to administrative support functions. The challenge was to create transparency around who was in the office when and ensure smooth utilization of shared facilities. Without a centralized system, it could be unclear whether rooms were available or occupied for important meetings.
The choice fell on finding a digital solution that could tie planning and logistics closer together. KMC was looking for a tool that could not only handle desk selections, but also improve the entire experience around meeting management and internal service. The goal was to create an intuitive everyday life for employees with fewer manual workflows.
The solution
In close collaboration with KMC, we have implemented a complete solution consisting of MyDesk Planner, meeting room booking and meeting catering. With MyDesk Planner, employees now have a visual tool where they can quickly plan their working week and see their colleagues’ presence. This gives the administration in Brande a solid foundation for creating a dynamic office environment.
The meeting room booking solution has been integrated directly into their existing workflow, removing uncertainty around reservations. We’ve configured the system to make it easy to choose the right room based on need and capacity. This ensures that the building’s resources are optimally utilized throughout the workday.
As an integrated part of meeting booking, we’ve rolled out the meeting catering module, which ties booking and canteen closely together. When a meeting is booked, the relevant orders can be made directly in the same workflow. This ensures that the kitchen is automatically notified, minimizing the risk of errors and duplication.
The result
The result for KMC is a more structured and seamless workday, with facilities management running automatically in the background. Employees have a better overview of their workplace, which promotes both collaboration and flexibility. The user interface makes it easy to coordinate common tasks without having to send multiple internal emails.
The full integration of meeting catering has created a significantly improved workflow between meeting bookers and service staff. There is now full clarity on delivery times and content, increasing the quality of internal meetings. Catering has become a natural extension of the overall meeting experience for employees.
Overall, KMC has a future-proof platform that supports the company’s professional image and growth. The overview of who is in the office, combined with a structured handling of meetings, has created peace of mind around practical matters. This allows the employees in Brande to focus fully on their core tasks in the food sector.
