A desk booking system should help employees find a place and colleagues to meet. Compare workflows, floor plans, prices and help with operation before you choose.

Desk booking

Updated October 26, 2026. The guide is written by MyDesk to help you choose a solution. Information about other suppliers is based on their own pages and is verified as of this date. Functions, packages and terms must be confirmed in the specific offer.

Which desktop booking system is suitable for a hybrid office?

Choose based on the office day you want to make easier. The employee must be able to find a free seat, see where colleagues are sitting and release the reservation when the plan changes. The administration must be able to combine fixed and flexible places, maintain areas and follow demand.

MyDesk supports these desktop booking workflows on 3D floor plans from Outlook, Teams, mobile and web. Danish onboarding, support as well as drawing and maintenance of floor plans are part of the solution. Analytics and sensor hardware are agreed separately. MyDesk, deskbird and Skedda: three solutions to investigate

There is no one best system for all offices. Use the same tasks and the same number of places when you evaluate the suppliers. The table shows selected documented options and questions for the demonstration; it is not a ranking list.

Six criteria that make the comparison concrete

  1. Booking where the employees work. Ask to see seat selection, confirmation, change and cancellation in the Outlook, Teams, mobile or web clients you actually use.
  2. Floor plan and colleagues. Find an area and a free seat at the team. Clarify equipment information, who can see the colleagues and how a changed layout will be corrected.
  3. Fixed and flexible places. Test an employee with a fixed seat, an employee with free seating and access to different areas. Decide what rules your office needs.
  4. Empty reservations. Agree what should happen when an employee does not show up. MyDesk can be set up for release with QR check-in or sensors; method, deadlines and options must be clarified.
  5. Operation and support. Get a description of responsibilities for start-up, new users, relocations and floor plans. Check whether the help you expect is part of the offer.
  6. Data and total price. Distinguish between reservations and registered usage, and compare software, minimum license, hardware and options separately.

How much does a desk booking system cost?

MyDesk's desk booking is settled per desk per month with a minimum limit. The current list price, minimum and included functions appear from the price overview and the calculator. Compare based on the number of bookable places and the modules you need, rather than equating a price per user with a price per space.

Ask for a split offer: running software, other modules, sensor hardware, possible purchase or rental and possible start-up costs. Clarify payment period, VAT and responsibility for ongoing operations. A simple starting price is not sufficient to compare two solutions with different scopes.

See how Danish companies have chosen and used MyDesk

Orifarm let the employees test two booking systems, before the company chose MyDesk. It's a useful example of letting a real office day factor into the decision.

TDC uses desktop booking across four locations with the same user interface on web, mobile and in Outlook. The customer stories describe the specific companies' choice and use; they are not a promise of a specific result in your office.

Try a full office day before you decide

Let a team choose the office day and book suitable seats. Then let a participant cancel and check that a colleague can find the vacated seat. Ask the administration to change an area and explain how the floor plan is maintained.

If you also want to combine desks and meeting rooms, both reservations must be included in the trial. MyDesk offers both in the same platform, but licenses, access and setup must suit your needs. See the hybrid office workflow and the possibilities for meeting room booking.

Can data tell you how many desks you need?

Booking data shows demand and reservations. If you are to measure actual use, it requires an agreed data base, for example check-in or sensors. Examine peaks, teams and areas over a representative period. An average booking rate is not in itself a basis for removing places.
