    See available places and colleagues on the floor plan. Choose an area that suits the day's work.

    Use Outlook, Teams, mobile or web. Parking and lunch can be included when the solution is set up for it.

    Release and follow up

    Release the space if plans change. Clarify check-in and any data for follow-up before you change the office's capacity.

The practical before you choose

Should all employees use free seating?

No. You can keep permanent places and introduce flexible workplaces in selected areas or for certain employees.

Should we draw the floor plans ourselves?

No. MyDesk draws the office, sets up locations, areas and spaces and maintains the floor plans when changes are made.

Can a booked, empty seat be released automatically?

The MyDesk can be set up for automatic release with QR check-in or sensors. Method, rules and any options are clarified in your setup.

Can booking data be used to reduce the number of tables?

Data can support the assessment, but reservations are not the same as actual usage. See both busy days, teams and employees' needs before you decide on a change.

How long does the implementation take?

The process depends on your Microsoft environment, number of locations, selected modules and hardware requirements. Agree responsibility, testing and a concrete schedule with MyDesk; there is not one fixed implementation time for all offices.

Is the price in the calculator the total price?

The calculator shows the recommended software price for the selected solution. Hardware, other modules, consumption and specific terms of agreement must be clarified separately. Ask for a quote that breaks down ongoing software, hardware purchase or rental, and any start-up costs.

This is how you get started with Microsoft 365

Start by clarifying your environment and work processes. Login, calendar connection and employee apps are different parts of the setup.

  1. Clarify environment and responsibility

    Your IT team and MyDesk review Microsoft 365, Outlook clients, locations and the modules you will use. Also designate the employees who must administer the solution.

  2. Connect identity and calendars

    Agree login via Microsoft Entra ID, relevant calendar resources and necessary rights. Microsoft Graph and OAuth 2.0 are used for the calendar integration; rights and connections must fit the specific solution.

  3. Set up office workflows

    Clarify floor plans, resources, booking rules and any messages or order deadlines. Reception and canteen are included when their modules are included.

  4. Test before deployment

    Review representative bookings, changes and cancellations in the clients employees use. Then agree on onboarding, support and responsibility for changes.

What should be included in your overall budget?

The software price below is the starting point. An overall offer must also clarify the modules, the hardware and the terms of agreement that suit your office.

Software
Use number and minimum limits in the calculator. Meeting catering, guest registration and other related products have their own price basis.
Hardware and consumption
Clarify the need for screens, sensors, guest cards and any controllers. Purchase, rental and consumption as SMS must appear separately when relevant.
Start-up and agreement
Get confirmation of setup, delivery, VAT, binding and any start-up costs in the offer. A monthly list price does not in itself tell you what all these items cost.
