MyDesk meeting room display: new view, better control

MyDesk meeting room displays provide a clear overview of room status and support a more efficient use of the company’s meeting spaces. The screens show current and upcoming reservations, allow users to book or end meetings directly at the door, and help reduce double bookings.

The solution integrates with Microsoft 365 to ensure that data is always up to date.

What’s new in MyDesk’s meeting room display?

MyDesk has launched an updated version of their meeting room displays, where the overview of upcoming meetings has been made more clear and user-friendly. The front page provides a clear list of upcoming appointments, while the layout offers more customization options.

Overview of upcoming meetings

On the right side of the screen is an overview of all upcoming meetings. It provides a quick overview so you don’t have to open the calendar to see what’s coming up later in the day.

Controlling viewing and privacy

You can choose how the information is displayed. MyDesk allows you to either show only the meeting participants’ names or also show the meeting title. This is useful in situations where companies want to protect the confidentiality of meeting content.

Check in and book directly from the screen

The screen supports touch, so you can check in directly upon arrival. If the meeting room is available, you can also book it immediately by selecting "Book Meetings" on the display.

Book ahead with QR code

To book a meeting room further in advance, the QR code is a smart feature. You scan the code with your mobile phone and can book the meeting for a later date or time – handy if you pass the room and want to reserve it the next day.

Continued option for old view

If you prefer the previous screen view, you don’t have to switch. MyDesk still offers the old view, so the transition can happen at your pace.

Background images and visual customization

Background images can be set on both the new and old screen displays. This allows you to show an image of the meeting room or an image that represents the company, enhancing the brand experience in the office environment.

Compatibility and exceptions

The new screen displays from MyDesk run on the vast majority of screen types. An exception is E-ink displays, which are also offered by MyDesk; they have a different layout and do not support background images.
