In this guide, we’ll walk you through how to effectively manage parking options in MyDesk. We’ll cover everything from booking spaces to managing charging stations.
Step 1: Introduction to the parking module #
The parking module in MyDesk allows employees to manage their parking needs efficiently. This module makes it possible to book spaces and select EV charging stations. It’s a simple solution that saves time and ensures employees always have a parking space available.
Step 2: Booking a parking space #
To book a parking space, employees need to log in to MyDesk. They can choose an available space from a list or have one assigned automatically.
- Log in to MyDesk
- Select “Parking” from the menu
- Select desired date and time
- Confirm booking
Step 3: Choosing an EV charging station #
If the employee drives an electric car, they can select an EV charging station during the booking process. This ensures they have access to charging while they park. It’s important to indicate how long they expect to charge.
Step 4: Booking via different platforms #
MyDesk offers flexibility by allowing employees to book parking spaces through different platforms. Besides the web version, they can also use Outlook or the mobile app. This makes it easy to book spaces on the go.
- Web platform
- Outlook integration
- Mobile app
Step 5: Enter registration number #
To complete the booking process, employees need to enter the registration number of their car. The first time they do this, the information is saved so that it is automatically filled in for future bookings. It is possible to add more license plate numbers if needed.
Step 6: Administration #
In order to manage parking options in MyDesk, the user must have the correct administration rights.
Administration rights allow you to change settings, activate parking at locations, and edit parking cards.
Step 7: Enable parking at locations #
Once you have administration rights, you can enable parking at specific locations. This is done by navigating to the administration panel and selecting ‘Manage locations’.
- Tap the three dots next to the desired location.
- Select ‘Enable parking’.
- Set the necessary parameters for parking, such as booking times and availability.
Step 8: Booking time limit #
An important feature in MyDesk is the ability to limit the booking time for parking spaces, especially when it comes to EV charging stations. This can help optimize the use of available resources.
To set restrictions, you need to:
- Go to ‘Manage locations’.
- Select the desired location and tap the three dots.
- Set the maximum time employees can book an EV charging station.
Limiting the booking time can help improve the flow at the charging stations and ensure that more employees have the opportunity to charge their cars.
Step 9: Editing parking cards #
As an administrator, you can edit the parking map to customize it to your business needs. This includes uploading new maps and changing existing spaces.
To edit the parking card, you need to:
- Select ‘Edit parking card’ from the administration menu.
- Upload the new map if necessary.
- Select the seats that should be available for booking.
It is also possible to change the name of the spaces for better identification. This can be useful if there are specific signs at the different locations.
Step 10: Managing parking spaces #
To ensure efficient management of parking spaces, administrators can take spaces in and out of the pool. This is done by marking spaces as active or inactive.
To manage the parking spaces, you need to:
- Tap the three dots next to the desired slot.
- Select ‘Active’ to make the seats available or ‘Inactive’ to remove them from the booking options.
When a space is marked as inactive, it will still be visible on the map but cannot be booked. This allows you to keep track of spaces that are temporarily unavailable.
