Finding the right meeting room can be a challenge, especially in businesses with many different locations and spaces.
In this guide, we will show you how you can easily find an available meeting room using MyDesk for Outlook.
Step 1: Open MyDesk Add #
When in Outlook, you can open MyDesk Addet, located in the top right corner. This tool allows you to search for meeting rooms in a more visual and detailed way than Outlook offers.
Step 2: Filter by facilities #
On the first page of MyDesk, you can start filtering based on the room’s facilities. This is useful if you have specific requirements, such as the need for a projector or other technology. You can also specify how many people the meeting room should be able to accommodate.
Step 3: Choose the meeting room you want #
After filtering by facilities, you can see a list of available meeting rooms. Here you can click on the images to get a visual presentation of what the meeting room looks like if it is available. This will give you a better understanding of what to expect.
Step 4: View the floor plan #
One of the most useful tools in MyDesk Add is the floor plan. This feature gives you an overview of where the meeting rooms are located in your location. While this may be more relevant for larger companies with many meeting rooms, it’s still a useful feature.
Step 5: Choose your meeting room #
Once you’ve found the meeting room you want, simply click on it and select “Finalize in Outlook”. This will update your Outlook meeting invitation to include the selected meeting room. If you were to select a different meeting room, this will also be updated in your invitation.
Step 6: Send the meeting invitation #
Once you have selected your meeting room, send the invitation to the relevant participants through Outlook.
