In this guide, we’ll explore how you can share meeting rooms with other companies through MyDesk. This system makes it possible to collaborate across companies and ensure everyone has access to the resources they need without sharing sensitive information.
Step 1: Understand the concept behind shared meeting rooms #
MyDesk offers a unique solution for companies working in multi-user buildings. Often several companies live in the same building and share common meeting rooms. This can create challenges, especially when each company has its own domain. MyDesk acts as the link that allows company A to book meeting rooms at company B without accessing too much information.
It’s important to understand that Company A should not be able to see when Company B has internal meetings or sensitive conversations. MyDesk ensures that only the necessary information is shared, creating a safe and efficient booking process.
Step 2: Sharing meeting rooms #
To share a meeting room in MyDesk, you need to follow some simple steps. First, find the meeting room you want to share. Here’s what you need to do:
- Go to MyDesk and find your meeting room.
- Click the ‘Share’ button.
- Enter the tenant ID of the company you want to share the meeting room with.

Step 3: Find tenant ID #
To find the tenant ID, visit findmytenantid.com and search for the company name. MyDesk can also help you find this information. Once you’ve found the tenant ID, enter it in the sharing field in MyDesk.
Step 4: Tie the meeting rooms together #
After entering the tenant ID, you create a binding between the two Office 365 environments. This allows the other company to see the meeting rooms you have shared. Please note that they can only see the meeting rooms and their availability, not the meeting titles.

Step 5: Choose which meeting rooms to share #
In case company A has multiple meeting rooms, you can choose which ones to share with company B. You can mark specific meeting rooms as internal only so that company B cannot see them. This allows you to control which resources are available to the other companies.
Step 6: Save your settings #
Once you have made the desired settings, scroll down to the bottom of the page and press ‘Save’. It is important to remember this step, otherwise the changes will not be saved.

Step 7: Synchronize with MyDesk #
When you book meeting rooms through MyDesk, the information is automatically synchronized. This means that the meeting room will be available for booking as soon as it is shared.
