How to set up meeting catering without a meeting attached

When working as canteen staff, there may be situations where you need to create a meeting catering without it necessarily being linked to a specific meeting.

This guide will take you through the steps to do this efficiently so you can ensure everyone has the necessary catering.

Step 1: Go to the catering admin #

The first step in the process is to go to https://cateringadmin.mydesk.dk. This is where you can manage and create catering. Start by opening your web browser and typing in the address.

Step 2: Navigate to the order page #

Once on the page, click on the navigation in the top left corner and select ‘order’. Here you will have the option to create a new meeting catering. It’s important to note that you can choose to create a meeting catering either with a meeting or without a meeting.

Step 3: Select meeting catering type #

If you choose to create the catering with a meeting, the meeting must already exist. This means that you cannot create new meetings directly from the catering admin, but you can attach catering to an existing meeting. If there was a meeting scheduled on that day, it will be shown here for you to select.

Step 4: Create without attaching to a meeting #

If you want to create the catering without linking it to a meeting, simply select the location where the catering will be delivered and enter the date.

Step 5: Add products #

Once the location and date are selected, you can start adding products to your order. If you don’t have a menu or products available that day, you can choose from the available options. For example, you can select rodent greens and specify that there should be two pieces of them.

Step 6: Set prices and discounts #

When you add products, you also need to set the price. In this example, the price is 25 kr. You also have the option to give discounts. If you don’t want it to cost anything, you can still show that there is a cost by specifying it in the system.

Step 7: Select cost center and enter comments #

Next, select which food center the catering is related to and you can add any comments. This helps keep track of where the catering is going and any specifications relevant to the order.

Step 8: Enter delivery details #

At this level, you can also choose who will deliver the catering. It’s important to know who is responsible for making sure everything is delivered correctly. Finally, you need to choose who requested the catering. In this example, it’s the user Henrik.

Step 9: Save your order #

Once all information has been entered, click ‘Save’ to save your meeting catering. You have now created a meeting catering that is not linked to a specific meeting and can be delivered on the specified day. The user listed as “Order by” will receive a confirmation of the order.
