In a busy workday, it is often necessary to schedule recurring meetings to ensure continuous communication and coordination. In this guide, I will show you how you can easily create recurring meetings in MyDesk Planner.

Step 1: Open MyDesk Planner #

The first thing you need to do is open MyDesk Planner. You can find it by going to planner.mydesk.dk, here you will see an overview of the available meeting rooms.

Step 2: Choose your meeting room #

Once you are in MyDesk Planner, you need to find the meeting room where you want to hold your meeting. Let’s say it’s Tuesday, January 14, and you want to set up a meeting series in the conference room every Tuesday at 13:00.

Step 3: Mark the time period and write the title #

Mark the time slot you want to reserve and write a suitable title for the meeting. It’s also a good idea to indicate who will be attending and what the purpose of the meeting is. To make yourself the meeting organizer, you can set yourself as the organizer.

Step 4: Create the meeting series #

To create a recurring meeting, press the “Create recurring meeting” button. Here you can choose how often the meeting should be repeated. You can choose to have it happen every week, every month, etc.

Step 5: Confirm settings and send invitation #

When you have selected all settings, press “Submit”. This ensures that your meeting will now repeat every Tuesday at 13:00 as you have specified.

An important detail to keep in mind is that if you need meeting catering for a meeting in a meeting series. remember to add it to all meetings individually. This is to avoid ordering too much catering that may not be necessary as not all recurring meetings are always held.

It’s a good idea to follow up on your recurring meetings. Go in the week before the meeting to make sure everyone is ready and that catering is in order. If there are any changes in attendance or meeting time, make sure you inform all parties involved.
