In this guide, we will go through how to create and manage cost centers in MyDesk.
Step 1: Log in to MyDesk #
To get started, log in to your company MyDesk account. Go to https://firmanavn.mydesk.dk. It is important to have administrative rights in order to be able to manage costcenters and catering. Without these rights, you will not be able to see the necessary settings.
Step 2: Find the administration panel #
Once you are logged in, find the administration panel. It is located at the bottom left of the menu, where you will see an item called Administration.
Step 3: Go to lunch and refreshments #
When you click on Administration, you will be taken to a page with different options. Here you need to find and click on Lunch and Catering and then Admin. This will open up the settings related to food centers.
Step 4: View existing costcenters #
Under the Departments and managers tab you can see all the existing costcenters. Here you can get an overview of which diet centers have already been created and who is responsible for them.
Step 5: Create a new costcenter #
If you want to create a new costcenter, click the three dots next to existing costcenters. From here you can choose to add a new costcenter by clicking Add department.
Step 6: Enter the art center name #
When you add a new costcenter, you need to enter a name. This name will be visible to anyone who needs to order catering, so it’s important to choose a clear and descriptive name.
Step 7: Select a user for authentication #
After entering the costcenter name, you need to select a user to approve the costs ordered for this costcenter. You can search for the user in the system by entering their name. Some companies do not use order approval. If this is the case, you can just select a dummy account or, for example, the manager of the canteen.
Step 8: Activate the costcenter #
Once you’ve selected the user, make sure to mark the costcenter as active. This ensures that it is available for your colleagues to start ordering meeting catering for that costcenter.
Step 9: Enter Opus settings (if applicable) #
If your company uses Opus as its financial system, you need to enter the relevant Opus settings. This is only necessary if you have an integration with Opus and want to send expenses to the system.
Step 10: Save the changes #
Once you have entered all the necessary information, click Save to save the changes. The diet center will now be available for your colleagues to start booking meeting catering for this costcenter.
Step 11: Confirmation of costcenter #
It’s a good idea to confirm that the costcenter has been created correctly. You can do this by going back to the administration panel and making sure that the new center is correctly displayed under departments and managers.
Step 12: Reporting #
MyDesk also offers reporting features that can be useful for monitoring costs for each department. Use these reports to analyze consumption and make any necessary adjustments.
Step 13: Contact support if needed #
If you encounter any issues during the administration of costcenters, it’s important to contact MyDesk support. They can give you the help you need to make sure everything is working properly.
