Step 1: Registering the guest #
When you have a manned reception, your guests don’t need to check in digitally. The front desk can handle this for you. Here’s how it works.
The receptionist starts by registering the guest by pressing “Add”. This opens a form where the guest’s name, email, phone number and company must be entered, as well as who the host is.
Step 2: The check-in process #
After registration, the receptionist must press “Check-in”. This marks in the system that the guest has arrived. It’s a simple process that ensures everyone is updated on who is in the building.
Step 3: Pre-registration and the role of the host #
The front desk can also pre-register guests and the host can do the same through MyDesk in Outlook or mobile. This provides a flexible approach to guest management.
Step 4: Check out when the guest leaves #
When the guest leaves the building, the receptionist can press “Check out”. This updates the system that the guest has left. It’s a smart way to keep track of who is in the building at any given time.
Step 5: Print Guest Card #

If it is necessary to issue a guest card, the receptionist can press the print button. The guest card is then automatically printed and ready to hand out to the guest.
Step 6: Inform the host #
It’s important for the host to know when the guest arrives. The receptionist can send an email and text message to the host by pressing the envelope in the system. This happens automatically at check-in if the feature is enabled, but it is also possible to manually resend both
Step 7: Automatic printing and communication #
If the settings are set to automatically send text messages and emails, as well as print maps, this happens without any additional actions. Otherwise, the receptionist can manually perform these tasks.
