Automatic booking of seats for employees with fixed seats

In many companies, employees have fixed seats that they report to most days of the week. It can be an unnecessary burden for employees to book their seats every day. In this guide, I’ll show you how to implement auto-booking so that employees don’t have to think about it.

Step 1: You must be an administrator #

In order to make autobookings, you need to be an administrator. As an administrator, you have access to a section called Administration and user permissions. From here you can make the necessary settings for autobooking.

Step 2: Find the employee #

Once you are in the administration panel, you can search for the employee you want to set up autobooking for. In this case, I will search for my colleague Henrik.

Step 3: Edit the employee’s settings #

Once you have found the employee, you can click “Edit”. Here you can set a preferred seat and a default seat for the person.

Step 4: Select area and space #

Start by selecting an area and then choose a specific seat for the person. Select seat

Step 5: Set days for automatic booking #

Now you need to specify which days the seat should be booked automatically. By default, it’s from Monday to Friday. However, if you know that the person works from home every Monday, you can remove that day.

Step 6: Book the space #

After you remove Monday, the space will now be booked from Tuesday to Friday. This means that Monday will be available and others can book that space on the floor plan.

Step 7: Make sure the seat is reserved #

You can also choose to ensure that the seat is always booked for the person so that no one else can sit there. This can be useful if space is limited. In that case, you need to book the seat every day of the week.

Step 8: Update the settings #

Once you have entered all the information, click “Update”. This will activate autobooking every day for the selected seat for the person until you release it.
