Introduction to the MyDesk Analytics module #

Welcome to an in-depth look at how you can use MyDesk’s analytics module for desk booking. This tool can help you optimize office space utilization by giving you insights into how your desks are being used.

To get started, navigate to https://analytics.mydesk.dk. Here you will find different modules depending on what you have activated. In this guide, we focus on desk booking.

Step 1: Select a period for analysis #

The first step in the analysis is to select a period you want to view data from. By default, the period is set to 30 days back, but you can customize this as needed. Be aware that if you have a lot of data, it may take some time to load.

Step 2: Understand space utilization #

Once the data is loaded, you can see the desk space utilization across your locations and areas. The gray bar represents the capacity, while the colored bar shows the usage for the selected period.

For example, you can see how usage varies during a typical week, with Monday, Tuesday and Thursday often being the busiest days.

Step 3: Use sensors for in-depth analysis #

If you have sensors installed, you can get even more detailed insights. The sensors can show how usage changes throughout the day, which can reveal patterns such as when employees typically arrive and leave the office.

For a more visual insight, you can use floorplans to see how different areas and spaces are being used. This can help identify popular and underutilized spaces.

By diving into a specific area, you can see the number of spaces, number of bookings, and the average utilization. This can be useful, especially if you are considering reorganizing the office space.

Step 5: Identify and optimize underutilized spaces #

By analyzing space-level data, you can identify desks that are rarely used. If certain spaces are consistently empty, it could be an indication that they need to be removed or converted into something else, such as a meeting room.

If you find that there is an abundance of desks that aren’t being used, it may be time to re-evaluate the office layout. This could include reducing the number of desks or repurposing them for other purposes, like meeting rooms, where there is often a higher demand.
