Lunch registration with employee cards and NFC

When employees arrive at the canteen, it must be clear how the lunch will be registered. A card-based solution can combine identification and registration in a simple workflow. But card, reader and software must match.

Lunch registration

Here you get an overview of the process and the questions that should be clarified before you choose a solution.

This is how the process is connected

With the MyDesk catering module, the employee can put his associated card on an NFC reader at the canteen. A confirmation on the catering screen makes it visible that the registration has taken place. If the employee has a guest with them, the guest can be added on the touch screen.

It is the connection between the card, the reader and the module that creates the workflow. A card with name and photo is not in itself a complete solution for lunch registration.

What is the difference between the card's display and its functions?

MyDesk's digital employee card uses E-Ink to display information such as name, picture and logo. The information displayed can be changed so that the card can be reused.

Registration in the canteen is a separate part of the setup. The same applies to using the card for access at the door. The MyDesk card's MiFare chip can be used with a compatible access system when rights and integration are set up correctly. This should be clarified specifically for your system.

Clarify both the regular lunch and the exceptions

Start with the most common situation: An employee comes alone for lunch and registers. Then review the guest lunch and the cases where a card is missing or not recognized. Agree the practical handling with the canteen and the administrators.

The screen confirmation should be easy to understand. The employee must be able to see whether the action was successful and where there is help if it did not. Use the actual screen setup in the test rather than just seeing an illustration.

Get registration and settlement described separately

A registered lunch not only tells you how it must be settled. Describe what information the canteen must use, how the reporting must take place, and whether the financial system, payroll or other systems must be included.

Get the agreed scope written into the offer. Avoid assuming that a specific form of payment or integration is included, just because the employee card can be used in the canteen.

An example from a multi-company house

MyDesk's customer story for Gastro Kantiner in Portland Towers includes both meeting catering and lunch registration. The example shows how several companies can use shared canteen facilities, while the canteen needs an overall administrative overview.

Use the customer story as inspiration for your own clarification. It documents a specific project and is not a guarantee that all houses will have the same setup or effect.

The checklist before you order

  • Which employees and any tenant companies must be able to be registered?
  • Which cards, readers and screens must be included?
  • How does the employee add a guest?
  • Who manages cards and changes to employee information?
  • What reports and settlement processes does the canteen need?
  • Which integrations and parts of the setup are included in the offer?
