Desk booking: plan a good day at the office

With a common booking overview, employees can choose an available space before they come in, and the company can monitor the need for office spaces.

Find the right seat

Select day, location and area. Use the floor plan to find a space close to the team or in the zone that suits the tasks of the day. Check equipment and access if you have special seat types. MyDesk can be used via web, mobile, Outlook and Teams depending on your setup.

Keep the booking up to date

A seat that is booked but not used makes the overview less reliable. Release the reservation in case of homework or changed plans. If you use auto-booking, fixed days of the week must reflect the real work schedule and be continuously adapted.

Give flexibility a framework

Agree rules for booking horizon, cleaning and special work needs. Flexible places do not mean that everyone has the same needs. Provide accessible, suitable workstations and clear assistance to employees who cannot find a suitable seat.

Assess capacity over time

Look at the busy days and differences between areas, rather than just using an overall average. Bookings can be supplemented with sensor data when sensors are installed. Do not remove seats based only on a short period of few bookings.
