A way of working where employees combine work in the office with work from other locations. The distribution is agreed according to tasks and the organisation's needs.
Hybrid office
An office designed for changing attendance and for collaboration between colleagues who participate physically and online.
Hot desking
Sharing of workplaces, so that the same desk is used by different employees at different times.
Free seating
A principle where the employee chooses among available places rather than always having a specific place. Rules and booking can still limit the choice.
Flexible seats
Spaces that can be used by several employees as needed. The term describes the office space distribution; flexible working hours is another option.
Fixed seats
Workplaces assigned to specific employees. They can be combined with shared spaces in other parts of the office.
Desk booking
Reservation of an office space for a date or a period of time. The booking shows a planned use and is not a measurement of attendance.
Meeting room booking
Reservation of a room for a meeting. In a calendar integration, the room's acceptance must be checked before the reservation is considered complete.
Plan drawing / floor plan
A visual overview of the floor or area with spaces and rooms. An interactive map can link selection and booking to the specific location.
Flex area
An office area with spaces that are shared according to agreed rules. The area may have special facilities or access groups.
Site management
Planning which spaces and rooms are available, who can use them and how demand is distributed.
Office space planning
Adaptation of the office's capacity and layout to tasks, attendance and the employees' needs.
Workplace occupancy
A measure of the use of the office's capacity. Always state whether the figure is based on bookings, sensors or another measurement.
Heatmap
A view where colors highlight differences in, for example, booking or activity on a map. The colors must be read together with the period and definition.
Workplace analytics
Analysis of workplace data, for example bookings, room use and catering. The insight depends on the database, filters and activated modules.
Office sensor
A device that registers a certain condition, for example activity, number of people, temperature or CO₂. Measurements and properties depend on the sensor model.
Visitor management
Registration of visitors with host, arrival and possible departure. Information and storage follow the company's setup and agreement.
Catering software
A system for ordering and managing catering, including products, quantity, delivery and order status.
Digital workplace
The digital tools and workflows that support the organisation's tasks. Office booking is part of this, but does not cover all work processes.
Remote work
Work performed away from the organization's office. It can be from home or another agreed workplace.
Homework
Work carried out from the employee's home according to the company's agreements on workplace, equipment and availability.
Distributed team
A team whose members work from different locations. The collaboration requires joint agreements on communication and meetings.
Coworking
A workplace where several people or companies share facilities. Booking and access must be demarcated between users.
Open office
An office with several workstations in the same room. The layout is not in itself a decision about fixed or flexible seats.
Activity-based workplace
An office with different zones for different tasks, for example immersion, conversations and collaboration.
Flexible work schedule
An agreed distribution of time and place of work, which may vary. It can be combined with both fixed and shared office spaces.
Policy for flexible working
Common rules for, among other things, workplace, accessibility, equipment and collaboration. The policy provides employees and managers with a common framework.
Employee experience
How the employee experiences the working day's framework, tools and collaboration. Engagement is about the relationship to work and cannot be derived from office attendance alone.
