The digital workplace: from manual processes to a common overview

Digitizing the office provides the most value when it makes a concrete workflow easier for the people who use it.

Choose a clear problem

Perhaps the reception is spending time on guest lists, the employees are looking for available rooms, or the canteen lacks notification of changes. Map out the process and describe the result you want to achieve. A common overview only works when the information is kept up to date.

Introduce the solution together with the users

Involve employees, IT, reception and facility management. Agree on booking rules, rights and help, and test a regular day as well as changes and cancellations. Technology can support corporate culture, but does not create collaboration alone.

Use the office wisely

Booking and sensor data can help understand space requirements and busy periods. Possible savings in space, power or materials must be assessed against the actual operation. Do not use old example figures as a guarantee of economy or climate effect.

Follow up on what matters

Ask users if it has become easier to find space, prepare meetings and receive guests. Combine the answers with relevant usage data and adjust the solution. See the implementation page for next steps.
