Assemble the right team

Appoint a project owner and someone responsible for the schedule. Involve MyDesk admins, Microsoft 365 admin, relevant super users and internal support. Reception, canteen and facility management should be included when their workflows are included in the solution.

Clarify scope and access

Select locations, resources and modules for initial deployment. Clarify permissions and consent with IT, and get app registration, calendar access and relevant user groups verified. Use the current documentation rather than an old consent link.

Get the office ready

Collect floor plans, room lists, equipment and booking rules. Clarify menus, deadlines and guest procedures if you use catering and visitor registration. The setup must reflect the resources the employees can actually use.

Test an entire workflow

Carry out booking, change and cancellation with a limited test. Check calendar acceptance, catering, access and any screens. Agree to go-live and let the super users test the situations they will be asked about.

Introduce and follow up

Use the relevant guides for employees and administrators. Agree when internal support will help and when MyDesk will be contacted. Follow up on questions and actual usage after launch, and adjust setup and guidance.
